Privacy and Data Protection Statement

How the SGCI All Partners Forum 2026 platform collects, uses, shares, protects and retains personal information.

Scope

This statement applies to forum.sgci.africa, My Forum, registration, programme participation, travel support, excursions, communications and related participant services.

The platform is operated for the SGCI All Partners Forum 2026 on behalf of its Organizing Committee, comprising the National Commission on Research, Science and Technology (NCRST), Namibia; Canada’s International Development Research Centre (IDRC); and the African Centre for Technology Studies (ACTS). Authorized personnel and service providers support defined event functions.

Information we process

  • Identity and contact information, profile details, photographs and optional networking contacts.
  • Account, invitation, attendance, role, programme, session-access and communication records.
  • Registration, dietary, accessibility, arrival, visa, passport and travel-support information where required.
  • Excursion selections, sponsorship/payment status and operational notes.
  • Documents, biographies, presentations, security logs and administrative audit records.

Why we use it

  • To authenticate users, approve access and protect invitation-only information.
  • To administer attendance, registration, the programme, participant roles, travel, visas, accommodation and excursions.
  • To publish information a participant has chosen or agreed to make public.
  • To send Forum communications, respond to enquiries, maintain security and meet legal, financial or contractual obligations.

Sharing and international access

Access is limited by role. Authorized personnel from NCRST, IDRC and ACTS, together with approved hosts, programme managers, moderators, travel organizers and excursion managers, receive only the information needed for their Forum responsibilities. Authentication, hosting, database, storage and email providers process information under their security and contractual controls.

Because the Forum and its Organizing Committee are international, authorized users and providers may access information from countries outside Namibia. Sensitive exports are password protected and must be transferred through approved secure channels.

Your choices and requests

  • Review and correct your profile and registration information in My Forum.
  • Control public-profile and directory visibility and optional contact sharing.
  • Ask for access, correction, restriction or deletion, subject to event, security, legal and record-keeping needs.
  • Decline attendance; registration and official excursion choices are then not required.

Retention and security

The platform uses role-based access, verified sign-in, encryption for sensitive fields, private storage, audit logs and protected exports.

Passport copies and visa-support records should be deleted or de-identified within 90 days after the Forum unless an active legal or travel requirement justifies longer retention. Routine participant and registration records should be reviewed within 12 months. Security, audit, contractual and financial records may be kept longer where necessary.

Contact

The Forum Organizing Committee includes NCRST, IDRC and ACTS. NCRST is the primary operational contact for privacy requests and will route requests to IDRC or ACTS where their responsibilities are engaged.
